Director of Education, was sent all relevant pension documents and personal files in 2006 (Your copy of the letter is attached herewith for your convenience. Please refer your letter and circular No: 04/2006. I have sent all the documents according to that circular about three years ago

Hi Akram,

The reason for 'the' is to show we are referring to one particular Director of Education.
